Why the record is worth trusting

Every lead has exactly one source

A measured ad click comes first, then what the person says, then the website form. Walk-ins get a source picked at the desk.
  • Google, Meta, Referral, Website, Passing By or Other
  • “Fix source” on the card and on the contact
  • Family members inherit the source of whoever registered them

Members are marked, not mistaken

A Member chip shows who already trains with you, and somebody already a member at that location never opens a new lead.
  • Member chip in the list and on the record
  • The gym app's roster never floods your leads
  • A member who cancelled can enquire again as a lead

How a contact record is built

  1. 01

    1. Google AdsGoogle Ads clickAdults Gi | Search
    2. Landing pageFree class form
    3. LeadJordan Avery · Northside

    A lead arrives

From a form, an ad, GoHighLevel or the gym software, with its click and its source attached.

  2. 02

The Workspace inbox: two-way texts with a lead from Northside's own number. A question arrives, the front desk types and sends the answer, another text lands in the list, and the lead replies.

    The record fills in

Calls, texts, notes, tasks and appointments land on the same page, and open screens redraw on their own.

  3. 03

Possibly the same person, merge into one?

    • Jordan Avery(512) 555-0134
    • Jordan A.(512) 555-0134
    • Merge

    The desk keeps it clean

Fix a source, merge a possible duplicate or update a detail, and every screen reads the same answer.

Who reads the record

  • Two front-desk staff at a reception counter: one smiles on the phone, the other types on a laptop.

Questions desks ask

Questions the record answers

  • Contacts · Source

What brought this walk-in through the door?

The desk asks, then picks the source at New contact: Referral, Passing By and the rest.

  • Contacts · Member chip

Is she already a member here?

A green Member chip says so, in the list and on her record.

  • Contacts · Locked field

Why can't I edit this phone number?

It comes from your gym software, which rewrites it on every sync. Change it there.

  • Contacts · Merge

Are these two the same family?

Possible duplicates are offered side by side with a Merge button, and nothing merges by itself.

  • Contacts · Notes

What did the desk write in GoHighLevel last month?

Those notes sit read-only in the contact's Notes tab, beside the ones written here.

  • Contacts · Filters

Which leads came from Meta this week?

Filter the list by source and dates, then save it as a Smart List.

Contacts FAQs

No. Your members, billing and schedule stay in PushPress or Mindbody. Contacts reads from them and locks those fields, with a note saying where to change them.

By one rule: a measured Google or Meta click first, then what the person says, then the website form. Anything else reads No source recorded, never a guess, and every screen shows the same answer.

A walk-in is not a source. The desk asks what brought them and picks a source at New contact or + Add, and anyone working the card can correct it later with Fix source.

No. Possible duplicates are offered as “Possibly the same person, merge into one?” with a Merge button, and nothing merges until a person decides.

Members export to CSV from the product today. For anything else, ask us and we will tell you what is possible.

You do, including Workspace contacts, conversations and call records. Your data is never pooled across customers, sold, or used to advertise for another client.
